Suppliers lose huge amounts of time responding to customer ESG questionnaires—not because the questions are hard, but because every customer sends a different spreadsheet, in a different layout, with questions scattered across multiple tabs. Copy/pasting answers into the customer’s exact template becomes the work. That’s why we built AI Upload in Complezy: a new feature that lets suppliers upload a customer’s ESG questionnaire in Excel, automatically identify the questions, map them to your existing ESG data, and fill the answers directly into the same Excel file format—so you can review and send it back in minutes instead of days.

The Problem: ESG Questionnaires Are Always in Someone Else’s Format

Customer ESG questionnaires often come as .xlsx or .xls files with multiple sheets (“Climate”, “Workforce”, “Governance”, “Supplier Info”, etc.), and questions scattered across tabs in inconsistent layouts.

Even if you already know your ESG numbers, the spreadsheet formatting work is slow and error-prone: you still have to find each question, interpret what it means in your internal terms, and write the answer into the exact cell the customer expects.

What AI Upload Does

AI Upload is a guided flow that turns a customer questionnaire into a filled deliverable — without forcing you to reformat anything.

1) Upload the customer’s Excel questionnaire

On the AI Upload page, you drag and drop or browse for an Excel file.

Supported formats: .xlsx, .xls. Max size: 10MB.

If your company profile isn’t complete, the app blocks access until it is—because AI Upload needs your ESG dataset to autofill answers.

2) AI scans the workbook and extracts potential questions

Complezy parses every sheet and scans cells to detect “question-like” content. It uses an intentionally inclusive approach because customer templates are inconsistent—and Complezy is designed to find the questions wherever they’re hiding.

  • Direct questions (ending in ?)
  • Common prompt verbs (describe, provide, indicate, report)
  • ESG keyword patterns (emissions, Scope 1/2/3, energy, water, workforce, safety, governance, anti-corruption)
  • Common questionnaire formatting patterns (colons, longer prompts, structured labels)

3) AI maps each extracted question to your ESG data fields

Once questions are extracted, the app calls a Supabase Edge Function: ai-map-questions.

Under the hood, it loads your existing ESG data for the selected company + fiscal year from your Complezy dataset (climate, workforce, governance, company profile), then uses an AI model (Gemini via Lovable gateway) to classify each question into one of the known ESG fields—or return NO_MATCH.

Each mapping includes a confidence score (0–1) and a status, so you can see what’s auto-fill ready and what needs review.

  • high = auto-fill ready (confidence ≥ 0.8 and you have data)
  • medium / low = needs review
  • no_match = no matching field
  • no_data = the right field exists but you haven’t provided the data yet

4) Review and edit before exporting

In the Review step you can include/exclude any question from export, edit suggested values inline, manually fill unmapped questions, remove irrelevant extracted items, and preview what will be filled before downloading.

Complezy also supports “continue later” workflows: it saves in-progress uploads to the ai_uploads table, autosaves during review (every ~30 seconds), and lets you resume saved questionnaires from the upload screen.

5) Export: Complezy fills the answers into the same Excel file

When you click Generate Filled Excel, Complezy opens the original workbook and writes answers back into the same template.

For each included mapping with a value, it writes the answer into the cell immediately next to the question cell (the adjacent column approach). The workbook structure stays intact: same sheets, same layout, same template the customer sent.

A new file downloads named like: CustomerQuestionnaire_FILLED_YYYY-MM-DD.xlsx.

Why This Cuts Response Time by ~90%

For suppliers, the time sink is almost always the formatting and hunting work: finding each question across tabs, interpreting what’s being asked, locating the internal metric, and pasting into the correct row/column — then verifying consistency.

AI Upload eliminates most of that by automatically extracting likely questions across the workbook, auto-mapping them to your ESG fields, auto-filling high-confidence matches, and writing answers back into the customer’s Excel template with one click.

What’s left is the human part that should remain human: reviewing medium/low confidence items, filling truly custom qualitative questions, and approving before sending.

AI Upload is ideal when you receive recurring customer ESG questionnaires in Excel, your company ESG dataset is already populated in Complezy, and you want a fast “first draft” completion that preserves the customer’s formatting.

Current Requirements (Good to Know)

Based on the implementation, AI Upload supports Excel only (.xlsx / .xls) with a 10MB file size limit.

Auto-fill writes to the column next to each detected question cell, which matches many questionnaire layouts (Question → Answer), but may require light review for unusual templates.

If you haven’t entered a particular ESG metric in Complezy yet, the system will mark it as No Data rather than guessing.
